Job Description

About the role
As Buying Support Assistant, you will be responsible for assisting the Buyer to source, develop and deliver a specific range of products at the right cost, right time and the right place to achieve the company's gross profit and to provide coverage for the category buyers during their absence.
Key accountabilities include, but are not limited to:
Accepting/Preparing order files for Buying Officer to respective department to ensure the buying process are completed in a timely and efficient manner.
Ensure accuracy of all data entered into the order system to ensure full, detailed, correct information are sent to the Suppliers.
Maintain all documents and records up to date for internal use and audit purpose.
Monitor and update all shipping order details and communicate ETA to buyers and warehouse department to ensure items are delivered timely to support operation needs.
Process / send all orders through to the suppliers enabling the prompt supply of stocks for the operation.
Preparing meeting reports, monthly reports for buyers and suppliers, such as Shipping Tracking Report, Promotional Report and Weekly Top 50 Report)
Prepare forecasting reports for reordering purposes.
Dealing with suppliers and promoters for the promotion & promotional stock inventory to ensure stock level are managed as per the business requirement e.g. GWPs, FOC stock etc.
Creating New PLU, Update PLU sheet whenever required, completing Price Change Authorisation Form, and Vendor Creation Forms for approval
Coordinate price changes with Cost Controller once approved by Buyer/ Category Manager.
Walk the shop floor and warehouse department on a regular basis to review stock levels ensuring it’s in line with the business needs.
Monitor availability by stock on hand vs. sales through sales and stock reports.
Monitor and communicate fast and slow moving items to buyers for future improvements.
Prepare incentive and uniform allowances for Beauty Advisors/Promoters in line with the company/brand agreement, ensuring payment are proceeding on time.
Co-ordinating with Marketing Team for monthly promotional signage.

Qualifications
About you
The successful candidate will have the following qualifications and skills:
High School Qualification with Minimum 2 years of job-related experience; or
Bachelor’s Degree or Equivalent with minimum 1 year of job-related experience
Skills:
Good knowledge in Computer ( Word, Excel , PPT)
Experience in F&B environment, preferably in a hotel or a fine dining establishment with an experience of order processing and / or buying department (preferred)
Computer literate with through knowledge of MS Word, Excel, PowerPoint
Working knowledge in Navision/Oracle will be a added advantage
Well-developed interpersonal team oriented skills
Fluent in English language, both written and oral.
Fluency in Arabic a distinct advantage.
Good Knowledge skills
Effective communication, interpersonal, and presentation skills, with strong influencing and persuasive talents.
